1. How does show management assign exhibit space and are there sections/categories on the show floor?

The information communicated on your application is very important to the process – requested booth size, product description, experience in the industry etc. We review your website and other supporting materials to familiarize us with your products and to understand the type of customer you’re attracting. These factors help us find a complimentary neighborhood for your exhibit. The actual assignment is then based on booth availability in that area.

The Show is not categorized by product. There is an area for manufacturing vendors called The Supply Side that is grouped in one place and is designated by contrasting-colored carpet.

2. What is included in the basic booth package exhibit fee?

Materials:
• 8 Foot High, white pipe and drape back and side walls
• Folding chair
• Black classic booth carpet
• A reasonable amount of exhibitor badges
• A booth sign stating your company name and booth number.

Services:
• Booth vacuuming the night before opening day
• Drayage (material handling round-trip of your freight from the loading dock of the convention center to your booth as well as storage of empty containers).
• Listing in the Show print and on-line directories

3. What is included in the hardwall booth package?

Materials
• White or light wood grain MIS hardwall panels framed in white or black metal
• 2 padded chairs
• Black classic booth carpet
• A reasonable amount of exhibitor badges
• 11“ x 17” street style sign
• Light bar with 4-50 watt halogen light heads
• 6 ‘ table with black drape

4. What are the standard booth dimensions and are there exceptions?

A standard booth is 10’ wide by 10’ deep. The National Stationery Show has a limited number of smaller booths – 6 or 8 feet deep - and in some instances, oversized single booths where the width could be anywhere between 15’ and 18’. The height of the back and side walls is 8’ and product must remain within this limit.
There are many exceptions to the booth height regulations when the booth is a constructed display. All such requests need to be approved by GLM’s operations department in advance to be sure they comply with “good neighbor” considerations and other technical matters.

5. What are some of the major deadlines that I should be aware of?

All items listed above are posted in the marketing manual and exhibitor set p manual respectively on the NSS website early in the year. We will communicate with you when they are live.
Advertising deadlines-print and on line media vary, so please inquire early about those that interest you.
Set-up Manual Availability – early January.
Show Set-up – You will see in the set up manual that we accept freight on a targeted schedule based on the location of your booth and the readiness of the exhibit hall. A schedule and color-coded floorplan is included in the set up manual. The general rule is that you should arrive anytime after your freight has been delivered or anytime on or after the targeted date that applies to your area of the exhibit floor if you are bringing in your own freight.
Housing –Book your arrangements early so you have access to the best selection. We work with Travel Planners, Inc., which you can find on website. They offer the most competitive rates and do not require payment until you check in.

6. Can I hand carry in my product to the booth by myself?

Yes, you absolutely can. But, you can only unload from the front of the building. The hand-carry policy is spelled out in the Set Up Manual. There are specifications about acceptable equipment you can use to cart in your items, as well as about the size of the vehicle that you are unloading. Please know that an attendant must remain with the vehicle at all times to avoid ticketing. Also, be advised that you must wear your exhibitor badge or have a work pass in order to access the exhibit floor. You can retrieve these at registration, which is set up in the lobby where you unload your products.

7. What are some helpful services that NSS provides to help make my first show be a success?

There’s no better way to learn about “show business” than to talk to friends and others who have exhibited in either NSS or other similar events. We have several excellent resources in which new exhibitors can participate.

The Mentor Program- will match you with a more seasoned exhibitor so you can cultivate a new relationship with someone who is eager to help you.
Pre-Show webinars- we offer a variety of webinars on topics that will surely help you hit the ground running. The topics are Marketing and Promotion; Booth Design and Sales; and Logistics, which cover everything from move-in to move-out. All of these are described on the website under Marketing Opportunities.

 

8. Are there any other opportunities through the Show for marketing and promoting my products?

There are several opportunities available. Examples include:

9. Is there a Press Room at the NSS? How many press kits should I bring?

The NSS welcomes some 250-300 print, broadcast and electronic trade and consumer media to the Show each year. We advise that you provide 30-50 press kits. Be sure to include your booth number so the media can find you.

10. Can I hand out any materials or product samples during the Show?

You surely can distribute materials from your exhibit space. In order to maintain a professional atmosphere, we do not allow sampling or distribution of literature in the aisles, in public spaces within Javits or outside the building.
